Privacy Policy
This policy explains what the Collin Woods Golf app collects, how it is used, and the choices you have. The app is operated by Collin Woods Golf (Collin Woods, PGA), a golf instruction business based at NEXUS Golf Club, 100 Church Street, New York, NY. Questions: info@collinwoodsgolf.com.
What we collect
- Account details: your name, email address and mobile number. If you use Sign in with Apple, we receive an Apple account identifier and the email Apple shares with us. If you create a password, we store only a salted hash of it.
- Booking information: your client record and lesson appointments from Acuity Scheduling, your lesson rate (member or non-member) and any lesson packages you hold.
- Lesson content: lesson notes written from Collin's recording of your lesson, swing videos captured in the studio during your lessons, swing videos you film in the app, review videos Collin sends you, and the drawings and notes you add to swings.
- Messages and AI Caddie: your messages with Collin, your conversations with the AI Caddie, and the facts the AI Caddie remembers about your game (you can see them in the app under Game Memory).
- Game information you enter: handicap index, GHIN number, rounds, practice plan progress and pre-lesson check-ins.
- Device information: a push notification token so we can send you notifications, and error reports tied to your account so we can fix problems.
The app does not collect your location, contacts or advertising identifier. It contains no third-party advertising or analytics software, and we do not track you across other companies' apps or websites.
The camera, microphone, photo library and calendar are used only when you choose to film a swing, record a voice-over, save or attach a video, or add a lesson to your calendar.
How we use it
We use this information only to run the app and to coach you: booking and managing lessons, showing your lesson history, notes and videos, messaging, the AI Caddie, practice plans, reminders and notifications, and helping Collin prepare for your lessons. We do not sell your personal information and we do not use it for advertising.
Service providers
We rely on a small number of providers who process data on our behalf and only to provide their service to us:
- Cloudflare: hosting, database, video storage, and the AI models that power the AI Caddie and lesson note summaries.
- Acuity Scheduling: lesson bookings, payments for packages, and client records.
- Plaud: recording and transcription of lessons, used to write your lesson notes.
- Resend: delivery of emails such as sign-in codes.
- Apple: Sign in with Apple and push notifications.
- Anthropic: if enabled, may process AI Caddie conversations to generate replies.
AI features
When you use the AI Caddie, your message, recent conversation and remembered game facts are sent to the AI model to generate a reply. Replies are general golf guidance and are not a substitute for professional medical or fitness advice.
How long we keep it
We keep your information while you have an account or remain a client. When you delete your account, the app data described below is deleted.
Deleting your account
In the app, go to Profile › Sign-in & Security › Delete Account. This permanently deletes your app account and the data the app stores for it: sign-in details, messages, AI Caddie conversations and memory, lesson notes and swing links, swings filmed in the app, review videos, drawings and swing notes, rounds and handicap entries, practice history, check-ins, referrals and notification history. Records of lessons you booked stay in Acuity Scheduling as part of Collin Woods Golf's business records. To have those removed too, or to request deletion without the app, email info@collinwoodsgolf.com.
Security
Data is encrypted in transit (HTTPS). Passwords are stored only as salted hashes, and your session is kept in the iOS Keychain on your phone.
Children
The app is not directed to children under 13, and we do not knowingly collect personal information from them. A parent who believes a child has provided information can contact us to have it deleted.
Your choices and rights
You can ask to access, correct or delete your information at any time by emailing info@collinwoodsgolf.com. You can turn off notifications and revoke camera, microphone, photo and calendar access in your iPhone's Settings.
Changes
If this policy changes, we will update this page and the effective date above.
